POSITION SUMMARY:

The Real Estate Coordinator will be an integral part of our Real Estate team, providing comprehensive administrative and project support throughout the entire real estate lifecycle, from site selection and lease negotiation to store opening.

This role requires a highly organized, detail-oriented individual with excellent communication skills and a proactive approach to problem-solving. The ideal candidate will thrive in a fast-paced environment and be adept at managing multiple priorities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The essential duties and responsibilities of this position include, but are not limited to, the following:

Administrative Support:

  • Manage and maintain real estate databases, including the sublease floorplan database and landlord and subtenant contacts.
  • Track property information, lease agreements, and critical dates, such as scheduled rent increases, subtenant expirations, certificates of insurance, and sales reporting.
  • Assist with self-managed location R&M invoices and landlord certificates of insurance.
  • Prepare, review, and distribute real estate documents, including letters of intent, leases, amendments, and other legal agreements.
  • Coordinate meetings, schedule appointments, and manage calendars for the Real Estate team.
  • Process invoices, expense reports, and maintain accurate financial records related to real estate transactions.
  • Organize and maintain physical and digital filing systems, ensuring easy retrieval of documents

Project Coordination:

  • Assist in the due diligence process for potential sites, including gathering demographic data, zoning information, and competitive analyses.
  • Liaise with internal departments (e.g., Legal, Construction, Operations) and external partners (e.g., brokers, landlords, developers, attorneys) to ensure smooth project flow.
  • Track project timelines and milestones, proactively identifying potential delays and communicating updates to relevant stakeholders.
  • Prepare presentations, reports, and summaries for internal review and executive leadership.
  • Support the lease administration process, including tracking lease obligations, renewal options, and critical dates.

Communication & Relationship Management:

  • Serve as a primary point of contact for inquiries related to real estate projects.
  • Collect rent/lease payments from subtenants.
  • Facilitate effective communication between all parties involved in real estate transactions.
  • Build and maintain strong relationships with internal teams and external vendors.

Research & Analysis:

  • Conduct market research to identify new opportunities and trends in the retail grocery sector.
  • Assist in the preparation of site evaluation reports and financial analyses for new store development.

General Support:

Perform other duties as assigned to support the overall objectives of the Real Estate department.

SKILLS & QUALIFICATIONS:

  • Bachelor's degree in Real Estate, Business Administration, Finance, or a related field preferred.
  • 2+ years of experience in a real estate administrative or coordinator role, preferably within a retail or commercial real estate environment. Experience with a grocery or multi-unit retail organization is a significant plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Experience with real estate management software is a strong asset.
  • Exceptional organizational and time management skills with the ability to prioritize and manage multiple projects simultaneously.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Proactive, self-motivated, and able to anticipate needs.
  • Strong problem-solving abilities.
  • Basic understanding of real estate principles, terminology, and legal documents.
  • Familiarity with retail site selection criteria and market analysis concepts.
